Our Lady of Mercy parish in Aurora, IL is seeking a practicing Catholic devoted to making disciples fill a part-time (37.5 hours a week) benefited position with some evening and weekend hours as an Administrative Assistant for the Family Faith Formation for grades Pre-K through 12.
Skills needed include a multi-tasker with a warm and welcoming personality; likes to work with children and families; computer skills including Microsoft Word and Excel; organizational skills; flexibility in working hours; completion of Diocesan required “Protecting God’s Children” and safe environment requirements; and a criminal background check.
A bi-lingual (English/Spanish) candidate who is proficient in communications skills in both languages is preferred. See below for a more detailed job description.

Job Description: Administrative Assistant Grades Pre-K through Grade 12
Office
- Provide a warm and friendly atmosphere for visitors to the office
- Answer phone and emails (including attendance line for classes)
- Basic correspondence and office work for DRE
- Attend Religious Education Office staff meetings
- Attend Parish Staff Meetings
- Assist Parish Office with covering phones and visitors when needed
- Maintain PDS Formation database
- Order supplies as necessary
Registration and Tuition
- Under the guidance of DRE, organize and prepare materials for registration and manage this process with the Youth Ministry Secretary
- Enter registrations in database with the Youth Ministry Secretary
- Post tuition and fees due and accept and post payments received. Mail statements. Prepare deposits. Provide financial reports as requested and work with auditor as requested.
Catechist Resources for Grades K – 5
- Under guidance of DRE, organize, prepare, and manage materials for catechist and volunteer recruitment
- Verify safe environment eligibility of catechists and volunteers
- Prepare materials for and attend Catechist Orientations
- Prepare and maintain class lists – collect and record attendance weekly
- Provide materials, supplies, and copies for Catechists as requested
- Maintain Catechist mailboxes
- Collect, total, and report Catechist formation hours
Safe Environment
- Maintain supplies for Protecting God’s Children workshops
- Prepare materials for Protecting God’s Children workshops
- Maintain safe environment files (includes all ministries in parish)
- Complete safe environment reports and work with auditor as required
First Reconciliation
- Prepare materials and attend Parent Meeting
- Prepare materials and attend Reconciliation
- Record attendance and follow up with families who did not attend
First Communion
- Prepare materials and attend Parent Meeting
- Work with Mass Coordinator to identify volunteers and needs
- Obtain Baptism certificates
- Organize First Communion Mass dates for families
- Prepare materials and attend practice sessions
- Prepare materials and attend Masses
- Prepare First Communion certificates
- Prepare programs
- Record sacrament in database and First Communion sacrament book
- Provide names for publication in Sunday bulletin
RCIC
- Identify students who will receive Sacraments and work with DRE to assist with process as needed.
Vacation Bible School
- Work with coordinator to prepare and collect registrations and fees
- Deposit fees received and obtain balances due
- Prepare materials and supplies as requested
- Collect and maintain registrations of teen volunteers and adult volunteers
- Verify safe environment eligibility for volunteers
